Senior Associate - Logistics Allocation

JOB PURPOSE: To provide comprehensive support for the administration of export shipping and logistics operations, focusing on the efficient allocation and monitoring of vessel and truck operations. Ensures the smooth facilitation of shipping and transport in strict accordance with the approved policies, procedures, and standards. Continuously optimize export shipping and logistics processes through regular performance evaluations, to identify areas for improvement, implementing innovative solutions, automation, and automation and I4.0y tools where appropriate. To enhance on-time delivery, reduce transportation costs, and elevate overall customer satisfaction.

 

KEY ACCOUNTABILITIES:

Day to Day Operations

  • Supervises the day-to-day operations to ensure that prompt, accurate and timely services provided to the customer.
  • Reports on a regular basis to the line manager on operational activities, challenges and issues faced, mitigations taken, etc. as required to keep them informed and updated on the activities performed.
  • Updates Shipping Lines and Transporter sailing and trucking schedules in the system to ensure vessel/trucking nomination carried out effectively.
  • Communicates with Shipping Lines / Transporter Company / Freight Forwarders both verbally and in writing regarding status of their vessel / trucking/ shipment / deliveries as and when necessary.
  • Liaises with internal departments as and when necessary to ensure customer’s requirements in terms of shipping and transport are met.
  • Manages complaints related to container damages and ensures adequate actions to resolve them on time.

 

  • Monitors the vessel/trucking schedule and shipments and advise the line manager if there are major concerns with regards to shipment and deliveries requirements
  • Plan orders for monthly bulk shipments and monitor production status of nominated orders on bulk shipment.
  • Handle and support internal audit/external audits/Gov. audits/automotive audits and CTPAT and other required audits that relate to the section.
  • Follow up on monthly freight forwarder stock reconcile reports and rectify any discrepancies in the report.
  • Ensures customer complaints are followed-up on and approved action plans implemented within stipulated time in QMS system and communicated to customer.
  • Regularly coordinates with the line manager to highlight any critical issues/challenges faced in the section in order to ensure these bottlenecks are cleared on time and operation continues as planned.
  • Coordinates with external stakeholders such as shipping lines, transportation companies, port authorities, freight forwarders and internal departments or functions as required, in order to build an effective communication network with different stakeholders.
  • Monitor the performance of allocation area using Power Bi and make decisions to insure department KPI’s are met at all times.
  • Determine Transport Needs: Assess the volume, weight, and nature of the export goods to determine the appropriate transport mode (vessel, truck, air, etc.) and the capacity required. Consider factors such as cost, transit time, destination, and any special handling or storage requirements.
  • Address Operational Challenges: Proactively identify and resolve any operational challenges that may arise during export shipping and logistics.
  • Continuous Improvement: Continuously evaluate and improve export shipping and logistics processes. Analyze key performance indicators (KPIs) such as on-time delivery, transportation costs, and customer satisfaction. Implement process enhancements, automation, or technology solutions to optimize operations.

Implements approved departmental policies, processes, procedures and provides instructions to subordinates and monitors their adherence so that work is carried out in a controlled manner.

 

People Management

  • Develop team members skills through cross functional training and by identifying training needs to further upgrade employee skills and techniques.

Delegate and prepare next in line employee who can take over Export Allocation section management.

 

Safety, Quality & Environment

Complies with all relevant safety, quality and environmental management policies procedures and controls to ensure a healthy and safe work environment.

 

 

Authority/ Decision making:

  • Plan and work closely with all stake holders for container and bulk shipments to make sure all areas are aware of nominated order and coordinate for allocation these order in the system keeping all stakeholders informed such as Sales Admin, Trucking, Production Planning, Casthouse, Port Authority, EGA America and Zurich team where applicable.
  • Review contractual volumes with port authority and use Power Bi and analytical tools for ports performance and recommend to management best possible routes and solution for cost saving and best quality service.
  • Analyse shipping line and trucking performance for services provided and update management for annual supplier evaluation requirements to support future business allocations.

 

QUALIFICATIONS & SKILLS:

Minimum Qualifications:

Bachelor’s Degree in Business Administration or related specialisation.

Minimum Experience:

3 - 5 years relevant experience in managing Export Logistics operation.
